Our website is informational only. Scheduling, payments, our customer portal, and the contact form embedded on our site are provided by a third-party platform, Housecall Pro. By using our website or our services, you acknowledge the practices described in this Policy.

This Privacy Policy is issued by Three Rivers Home Pros LLC, a Pennsylvania limited liability company. Three Rivers Home Pros LLC operates this website and our business phone and text-messaging line. Its subsidiary, TRHP HVAC LLC, also a Pennsylvania limited liability company, performs the HVAC services and holds the Housecall Pro account through which booking and payments are handled. In this Policy, “Three Rivers Home Pros,” “we,” “us,” and “our” mean Three Rivers Home Pros LLC and, where applicable, its subsidiary TRHP HVAC LLC.

  • Information you provide directly when you call, email, or text us. This typically includes your name, phone number, email address, service address, and details about the HVAC issue or service you need. Our phone calls and text (SMS) messaging are handled through Zoom Phone (a Zoom service).
  • Call recordings and transcripts. When you call us, or we call you, your call may be recorded and transcribed for quality assurance, training, and service purposes. We notify you at the start of the call that it may be recorded.
  • Information we collect when we provide service. When our technician visits your home, we may collect information about your HVAC equipment (such as make, model, serial number, age, and condition), the work performed, photographs of the equipment or work area, and notes from our conversations with you about the service. This information is typically recorded in our service records, which are maintained in Housecall Pro.
  • Information you provide through the Housecall Pro contact or quote request form embedded on our website (such as your name, contact information, service address, and message). That form is provided and hosted by Housecall Pro, so your submission is collected and processed by Housecall Pro and governed by Housecall Pro’s terms and privacy policy in addition to this Policy.
  • Information collected automatically when you visit our website, including standard server logs (such as your IP address, browser type, device information, referring pages, and pages you view), website analytics and usage data collected through Google Analytics (GA4), and information stored through cookies and similar technologies.

We do not use automatically collected information to determine your identity. It helps us understand how visitors use our website so we can improve it.

How do we collect your data?

You directly provide Three Rivers Home Pros with most of the data we collect. We collect and process data when you:

How do we handle text messages?

We may communicate with you by text (SMS) message through our business phone provider, Zoom. Our text messaging is conversational and reply-based. We reserve the right to send you service-related messages (for example, appointment confirmations, scheduling updates, and responses to your questions). We register our business text messaging under A2P 10DLC, the framework U.S. mobile carriers require for business messaging.

We may also send you service and appointment messages (such as booking confirmations and reminders) through the Housecall Pro platform. Those messages are handled by Housecall Pro and are subject to Housecall Pro’s own terms and privacy policy.

  • How consent is obtained. You consent to receive text messages from us when you initiate contact by texting our business number, or when you otherwise provide your mobile number and agree to be contacted by text.
  • Message frequency and rates. Message frequency varies. Message and data rates may apply based on your mobile carrier and plan.
  • Opting out and getting help. You can reply STOP at any time to opt out of text messages. You can reply HELP for help.

We do not sell or share your text-messaging information:

Three Rivers Home Pros does not sell, rent, or share your personal information, including your mobile phone number and your consent to receive SMS/text messages, with third parties or affiliates for their own marketing or lead-generation purposes. Text-messaging opt-in data and consent will not be shared with any third parties.

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text-messaging originator opt-in data and consent will not be shared with any third parties.

Service providers who help us operate our business (for example, our scheduling and dispatch software and our phone/messaging platform) may process this information solely to provide those services to us. That limited processing is not sharing for anyone else’s marketing or lead-generation purposes.

How do we share your data?

We share personal information only as described below. We do not sell your personal information, and we do not share it for third parties’ own marketing or lead-generation purposes.

Our subsidiary. We share the information needed to schedule and complete your service with TRHP HVAC LLC, our subsidiary that performs the HVAC work you request and manages booking and payments through Housecall Pro.

Service providers. We use trusted third-party companies to help us operate our website and business. These providers may process personal or website information on our behalf, solely to provide services to us:

  • Housecall Pro: booking, scheduling, dispatch, payments, and the customer portal (and the embedded contact/quote form).
  • Google Analytics / Google: website analytics.
  • Zoom: business phone service and SMS/text messaging.
  • WordPress.com / Automattic: website hosting and platform.

Technicians, subcontractors, and service vendors. To perform or assist with the service you request, we may share the information necessary to complete the job (such as your name, service address, contact information, and job details) with our contracted technicians, subcontractors, or third-party vendors. This may include other trades, such as plumbing or electrical contractors, engaged to perform or assist with your requested service. This is service-fulfillment sharing: it happens only so that your requested work can be completed. It is separate from, and does not contradict, the text-messaging and marketing commitments above. We do not share your information with these parties for their own marketing or lead-generation purposes.

Legal and safety. We may disclose information when we reasonably believe it is necessary to comply with the law, respond to lawful requests or legal process, enforce our agreements, or protect the rights, property, or safety of our customers, our company, or others.

Business transfers. If our business is involved in a merger, acquisition, financing, reorganization, sale of assets, or similar transaction, information may be transferred as part of that transaction, subject to the commitments in this Policy.

Housecall Pro and third-party services

Booking, online payments, our customer portal, and the contact/quote form embedded on our website are all provided by Housecall Pro. When you use any of these features, you are interacting with Housecall Pro’s platform, and the information you provide is collected and processed by Housecall Pro. Your use of those features is governed by Housecall Pro’s own terms and privacy policy, in addition to this Policy.

We are not responsible for the privacy practices of Housecall Pro or any other third party. This Policy applies only to information we handle directly.

Public business listings

Our business is listed on search engines and mapping services as public business information (for example, our business name, service area, phone number, and website address). These are public business listings, not sharing of customer personal data. They do not involve your personal information.

Social media and third-party platforms

We maintain, or plan to maintain, a presence on social media and community platforms (for example, Facebook and Nextdoor, and possibly others). We may receive questions or support messages from you through those platforms.

When you interact with us on a third-party platform, your interaction is also governed by that platform’s own terms and privacy policy. We do not control those platforms and are not responsible for their practices. Please review the policies of any platform you use to contact us.

How do we store your data?

We keep personal information for as long as needed to provide our services, communicate with you, comply with our legal obligations, resolve disputes, and enforce our agreements. Retention periods vary depending on the type of information and the purpose for which it is held. Some information is retained by our service providers (such as Housecall Pro) under their own retention practices.

We use reasonable administrative, technical, and physical safeguards designed to protect personal information. We also rely on the security measures of our service providers, such as Housecall Pro for booking and payment data. No method of transmission or storage is completely secure, however, and we cannot guarantee absolute security.

Marketing

Today, our messages to you are primarily service-related. We reserve the right to send marketing or promotional communications (by email and/or text) in the future. If we do, we will send them only to customers who have given the appropriate consent, and every marketing message will include a way to opt out.

You can opt out of marketing emails by using the unsubscribe link in the message, and you can opt out of marketing texts by replying STOP. Even if you opt out of marketing messages, we may still send you non-promotional messages about your service or account.

What are your privacy rights?

You may:

  • Ask us what personal information we hold about you.
  • Ask us to correct information that is inaccurate.
  • Ask us to delete information, subject to legal and business record-keeping requirements.
